Madiluu is a maternity hospital and birth centre in Koramangala, Bangalore,India. We are a Level 1B hospital with 6 beds. We offer services such as natural birth and water birth following the Midwifery Model of Care and the International Confederation of Midwives standard. Job Description
We are seeking a highly organized and experienced Health Care Operational Manager to oversee the development, maintenance and operation of our Facility. As the Operational Manager, you will be responsible for ensuring the smooth running of our physical spaces, including offices, clinic rooms, and auxiliary spaces. You will collaborate with various teams to provide a safe and comfortable environment for employees, visitors, and clients. Additionally, you will manage a team of maintenance staff, contractors, and vendors to ensure all operational-related tasks are completed efficiently and on time.
For the first three months of your employment you will also be partly functioning as a receptionist at the front desk ,responsible for billing , invoicing , scheduling appointments and interacting with the clients but this job will be transferred to another person very shortly.The ideal candidate will have a strong background in floor management, with excellent problem-solving skills and a keen eye for detail. You should be able to prioritize tasks effectively and work well under pressure. Excellent communication and leadership skills are also essential, as you will be responsible for coordinating with different departments and managing a diverse team.
Responsibilities
Extend a friendly and welcoming greeting to visitors and maintain a clean and tidy reception area
Answer incoming telephone calls, emails, and messages and reply to or redirect them
Set up meetings and update calendars
Take delivery of mail and sort and distribute them
Communicate with the booking, housekeeping and maintenance departments to ensure prompt responses to guests’ needs
Answer guest calls and record details of each conversation for future follow-up
Meet and exceed guests’ expectations by anticipating the services they might require and suggesting additional products
Manage the day-to-day operations of facilities, including cleaning, maintenance, repairs, and security.
Coordinate with internal stakeholders and external vendors to ensure the timely resolution of facilities issues.
Oversee the implementation of health and safety procedures, ensuring compliance with relevant regulations..
Develop and maintain relationships with vendors and suppliers to ensure cost-effective and efficient support for facility maintenance.
Create and manage the facilities budget, ensuring expenses are controlled and accurately reported.
Develop and implement emergency response procedures to ensure the safety and well-being of employees, clients, and visitors.
Supervise and train a team of staff, providing guidance and support as needed.
Creating documents on word,excel etc
Requirements
Diploma required
2+ years’ front desk experience in the hospital industry preferred
1+ years’ customer service experience required
Excellent written and verbal communication skills
Familiarity with project management software such as zoho CRM, zoho books and other zoho products.
Proven experience in operational management, preferably in a medium to large-scale organization.
Knowledge of building teams and work follow.
Excellent problem-solving skills and the ability to prioritize tasks effectively.
Exceptional communication and negotiation skills.
Proficient in using management software, task management tools.
Knowledge of health and safety regulations and procedures.
Interest in alternative, holistic and natural health care options.
Ability to lead and manage a diverse team.
Strong organizational and time management skills.
Ability to work well under pressure and meet deadlines.
Flexibility to work outside regular business hours, as required.
